REFUND, AND NO-SHOW POLICY
The registration fee includes entrance to the general sessions, symposium, welcome reception, and awards dinner. However, for participants attending the symposium only, the registration fee does not include the reception and awards dinner.
Accompanying guests can register for the welcome reception and awards dinner. If they plan to attend any of the general sessions, they must fully register for the Annual Meeting.
Early Bird Registration Fee: To qualify for the early bird registration rate, online registration must be submitted by 11:59 PM EST on September 14. Registrations received after this date will be charged the full registration fee as posted on the NAPPO Annual Meeting website.
Registration fees may be paid online using the registration form; cash is only accepted for on-site registration and must be paid in USD.
To gain access to the Annual Meeting, all payments must be received prior to or on the first day of the event (or the symposium if registered for the symposium only).
Substitutions, cancellations, and refunds must be coordinated directly with Sofia Baez at . A confirmation e-mail will be sent to the requesting party.
No-Shows: Registrants who fail to attend the NAPPO Annual Meeting and do not contact Sofia Baez at with a cancellation request prior to the meeting start date (October 21, 2025), will automatically forfeit all registration fees.
Cancellations and Refunds: Requests for cancellations must be sent to Sofia Baez at . Deadlines for the refund of attendee registration fees are:
- Received before 5 pm Eastern, Friday, August 30 – Full refund will be issued
- Received before 5 pm Eastern, Monday, October 6th – Half the registration fee will be issued
- Received after 5 pm Eastern, Monday, October 6th – No refund will be issued
Accompanying guests: Requests for cancellations and refunds for accompanying guests must be sent to Sofia Baez at . Deadlines for the refund of guest fees are:
- Received before 5 pm Eastern, Monday, October 6th – Full refund will be issued
- Received after 5 pm Eastern, Monday, October 6th – No refund will be issued
If, in the sole discretion of the NAPPO Secretariat and host country, an extraordinary circumstance occurs, the Secretariat may consider a waiver of the cancellation penalty on a case-by-case basis. If an attendee feels that they have experienced an extraordinary circumstance, they should immediately email Sofia Baez at with as much information as possible. The appeal will be brought to the NAPPO Secretariat and host country for consideration. The applicant will be notified within five (5) business days after the final decision is made.
